Paid Time Off (PTO) Policy

Scope

This policy affects all employees who are employed by The Vets Sales and Support Department.

Policy Elements:

The Vets Paid Time Off (PTO) policy outlines our company’s provisions for employees who request Paid Time Off and need to be absent from work. The following policy specifies how PTO will be accrued and how it should be used.

How Does PTO Work?

Employees receive minimum 2 weeks of Paid Time Off (PTO) per year, (potential for more based on role and length of employment). Your PTO accrual begins the day you join our company and you will receive accrual each paycheck. You can take your PTO at any time after your first week with us and you cannot use time off you have not yet accrued.

If you want to use PTO, you are required to send a request to your TL and/or RM. If your manager approves, you are permitted to take your leave. It is important to understand that PTO is a request and may not be approved each time, an approval will depend on schedules and company needs. You do not have to specify a reason for requesting PTO.

You can transfer any remaining PTO to the next year. We encourage you to use your time off throughout the year. If you leave our company, we may compensate the accrued PTO with your final paycheck according to local law.

Notice Requirements:

When employees want to use their PTO, they are required to notify their Team Lead (TL) and/or Regional Manager (RM) 30 days in advance through a Slack Message in their personal feedback channel, or directly to their supervisor for approval. They should also inform the TL/RM for how many days they will be requesting off.

Under certain circumstances, employees may be declined their request for PTO. Those circumstances include but are not limited to:

  • Conflicting Schedules
  • No PTO days remaining
  • Insufficient Request Time (After 30 days)

When I Work Requests

When you are requesting PTO through WiW, please ensure you are inputting the request as a Paid or Unpaid Personal Day. Personal time off requests should only be used for days such a vacation, family time, bereavement, etc.

PTO Responsibilities:

During any time that you use your PTO or Sick Days, you will be required to delegate any urgent tasks to your immediate team members/supervisor(s).

If there are no urgent tasks to delegate, you will be required to provide your team members, and/or direct manager with a list of any pending/ongoing items and projects that will need attention in your absence.

Failure to comply with any of the above will result in disciplinary action up to and including termination of employment.
