Description:


Expectations and process when an employee has an unapproved absence. An unapproved absence (a “call-out”) occurs when an employee is absent from a
scheduled shift without management approval. Call-outs are unpaid time off for FLSA non-exempt employees. The company respects that employees will occasionally
request time off once a schedule is established.


Procedure:


To request time off before publishing the schedule:

  • The employee must enter the request into JustWorks
  • The City Manager must approve or deny the request within 10 business days of
    the employee’s request


To request time off after publishing the schedule:

  • The employee must call and text message the City Manager with as much notice
    as possible and at least one hour prior to the scheduled shift.
  • After informing CM via Phone call, the employee is to send an email to
    operations.cancellations@thevets.com informing the unapproved absence
    (Call-out).
  • The employee must enter the request into JustWorks. If the employee is a DVM,
    the City Manager must:
  • Email operations.cancellations@thevets.com. Be sure to include the following
    information:
  • DVM Name that has requested a schedule change
  • The reason for the request.
  • The date / time CM was alerted.
  • A description of how the schedule is being backfilled.
  • Email mts@thevets.com so that Salesforce can be blocked off for the day
  • Delete the scheduled shift on Sling
  • If no Relief DVM is available, move all appointments to other Teams
  • If the city is approved for Technician Appointments, convert as many
    appointments to technician appointments as possible
  • The City Manager can cover the shift if a second technician is not available

Code the absence in JustWorks
If the employee is a Technician:

  • Engage support team with aim to cover the shift
  • Email operations.cancellations@thevets.com. Be sure to include the following
    information:
  • DVM Name that has requested a schedule change
  • The reason for the request
  • The date / time CM was alerted
  • A description of how the schedule is being backfill
  • Email mts@thevets.com so that Salesforce can be blocked for the day
  • Code the absence in JustWorks
